Managing Workflow Permissions & Sharing in August

Overview

Workflows in August allow users to run automated analyses, Playbooks, and bulk document tasks. Because these tools can affect large sets of documents, proper permission control is essential. This guide explains how to manage who can run workflows, who can share them, and how to control workflow related permissions.

Who Can Manage Workflow Permissions

  • Only users with Workflow Admin or similar admin permissions can adjust workflow settings
  • Standard users can run workflows they have access to but cannot modify permissions or share workflows broadly
  • If you need workflow admin rights, contact your firm’s August administrator or IT lead

Viewing and Editing Workflow Permissions

  1. Go to Settings → Workflows or Playbooks
  2. Open the workflow you want to configure
  3. Select Permissions or Sharing
  4. You will see a list of users or teams with access and their permission levels such as Run, Share, Manage, or Admin
To change permissions
  1. Select a user or team
  2. Choose a new permission level
  3. Select Save to apply the update

Changes take effect immediately.

  1. Open the workflow in Settings
  2. Select Permissions or Sharing
  3. Select Share With
  4. Choose one or more teams or users
  5. Assign the appropriate permission level
  6. Select Share or Save

Shared workflows will then appear in the workflow lists for those users or teams.

Revoking Access or Modifying Sharing

  1. Open the workflow and go to Permissions or Sharing
  2. Select the user or team you want to remove
  3. Select Remove or uncheck their permissions
  4. Confirm the change

To modify a permission level, simply apply the new level and save.

Best Practices for Workflow Permission Management

  • Limit Manage and Admin permissions to trusted users
  • Use Share permissions to broaden access without giving full editing rights
  • Assign workflows by practice group or matter type to prevent unintended use
  • Review permissions regularly, especially after staffing or team changes
  • Document major permission updates for audit and compliance purposes

Troubleshooting and Common Issues

Problem

What to Check

User cannot see a workflow

Confirm it is shared with the correct user or team and that they have Run permission

Workflow fails due to document access

Ensure the user has permission to the underlying documents

Workflow edits are not saved

Only Manage or Admin users can edit workflow settings

Sharing option is unavailable

The user likely does not have Share or Manage permission

User appears to still have access after revocation

Have them log out and log back in to refresh permissions

When to Escalate to an Administrator

  • When creating or deleting workflows used across the firm
  • When sensitive documents or Matters are involved
  • When firm reorganizations require permission audits
  • When there is suspected unauthorized workflow use or access

Summary

Managing workflow permissions ensures automated tools in August are accessible only to the appropriate users and are used in a secure, controlled manner. Clear permission management protects confidentiality, improves consistency, and supports firm wide compliance.
